Uniformly Limited ("Uniformly", "we", "us", "our") respects your privacy and is committed to protecting your personal information. This policy explains what information we collect, why we collect it, how we use and protect it, and the rights you have over it.
We handle personal information in accordance with the Privacy Act 2020 and its Information Privacy Principles.

1. Who we are
Uniformly is an Auckland-based uniform and branded apparel business. We supply garments and decorate them with your branding: embroidery stitched in-house, and heat transfers pressed in-house on our own heat press, with the transfers themselves printed by a trusted partner. To do that, we collect and hold some personal information about our customers and enquirers.
If you have any questions about this policy or your information, contact us at:
- Email: hayden@uniformly.co.nz
- Phone: 021 082 12843
2. Information we collect
Information you give us — when you request a quote through our website, place an order, or contact us by phone or email, we may collect:
- Your name and the business or organisation you represent
- Your email address and phone number
- Delivery and billing details
- The details of your enquiry or order (garments, quantities, sizing, branding requirements)
- Your logo, artwork and brand files that you provide for decoration
- Any other information you choose to share with us
Information collected when you visit our website — our website is hosted by Cloudflare, which processes technical information about each visit, such as your IP address, browser type and the page requested, to deliver the site and protect it from abuse. We also use Google Analytics, which uses cookies to understand how visitors use the site (see section 8).
Payment information — payments are generally made by bank transfer or another method we agree with you. Where a third-party payment provider is used, your payment details are handled by that provider — we do not store your card details.
3. How we use your information
We use your personal information to:
- Prepare quotes for you
- Produce, decorate and deliver your orders
- Communicate with you about your enquiry, order or account
- Keep your branding on file so reorders are quick, consistent and correctly matched (see section 4)
- Provide customer support and handle any issues
- Send you information about our products and services, but only if you have agreed to receive it (see section 7)
- Improve our website, products and service
- Meet our legal, tax and accounting obligations
We only use your information for the purposes it was collected for, or for related purposes you would reasonably expect.
4. Your logo, artwork and branding files
Because we're a decoration business, your logo and artwork are central to how we serve you, so this section explains exactly what we do with them:
- Who owns what: your logo and artwork are yours. The stitch file we create from your logo so our machine can embroider it belongs to Uniformly, as set out in clause 9 of our Terms of Trade. A copy of a stitch file is released only as clause 9.4 of those terms sets out.
- What we hold: the logo and artwork files you send us, and the production files we create from them.
- Why we keep them: so that when you reorder the same gear, we can reproduce your branding quickly and consistently without you having to resend files or pay for setup again.
- How long we keep them: while you are an active customer and for up to 7 years from your last order, so that repeat orders remain easy.
- Deleting your artwork: you can ask us to delete the logo and artwork files you've sent us at any time (see section 9).
- How we use them: only to produce your goods. We share your artwork with our transfer printing partner only so they can print your transfers. Otherwise we do not sell, licence or share your logo or artwork, and we never use it for any other customer.
- Showcasing our work: we'd like to show finished work as examples, for example on our website or social media. We will always ask you first, and we won't show your branding or your order publicly without your agreement.
5. Sharing your information
We do not sell or rent your personal information. We only share it where necessary to run our business or where the law requires it, including:
- Suppliers and couriers — wholesale garment suppliers, our transfer printing partner (who receives your artwork to print your transfers), and delivery providers, so we can fulfil your order.
- Our website providers — our website is hosted by Cloudflare, which processes visitor IP addresses and request data to deliver and protect the site. Quote requests sent through our website form are received by our form provider, Web3Forms, and passed to us by email. Google Analytics is covered in section 8.
- Other service providers — such as our accounting and email tools, which handle information on our behalf and are required to protect it.
- Legal purposes — we may disclose information where required for legal compliance or law enforcement, or to enforce our Terms of Trade, including recovering unpaid amounts.
- Safety — where reasonably necessary to protect the safety of our people or others.
Outside New Zealand — some of the companies we use to run our business, such as our website host, analytics, email and accounting providers, may store or process personal information outside New Zealand.
6. How we store and protect your information
We store your information using reputable, secure business software and take reasonable steps to protect it from loss, misuse, and unauthorised access or disclosure. We keep personal information only for as long as we need it for the purposes described in this policy, or for as long as the law requires (business and tax records are generally kept for 7 years).
7. Marketing and your choices
We don't run a mailing list at the moment. If we start one, we will only send marketing emails to people who have agreed to receive them, and every one will include a way to unsubscribe. You can also withdraw your agreement at any time by contacting us. Opting out won't stop essential messages about an order you have with us.
8. Cookies and website analytics
Our website uses Google Analytics to understand how visitors use it, so we can improve it. Google Analytics sets cookies in your browser and sends information about your visit to Google, such as the pages you view, how you arrived at the site, your device and browser type, and your approximate location. Google uses your IP address to work out that approximate location; Google Analytics does not store the IP address.
We don't set any other cookies, and the site works fully without them. To opt out, you can block or delete cookies in your browser settings, or install Google's opt-out browser add-on at tools.google.com/dlpage/gaoptout. Google's own privacy policy is at policies.google.com/privacy.
9. Your rights — access and correction
Under the Privacy Act 2020, you have the right to:
- Access the personal information we hold about you, and
- Request correction of any information that is wrong or out of date.
To make a request, or to ask us to delete the logo and artwork files you've sent us, contact us at hayden@uniformly.co.nz. We'll respond as soon as we can, and within 20 working days, as required by the Privacy Act. There's no charge to make a request, and we may need to confirm your identity first.
10. Other websites
Our website may contain links to other websites. We're not responsible for the privacy practices or content of those sites, so we encourage you to read their privacy policies before providing them with your information.
11. Complaints
If you have a concern about how we've handled your personal information, please contact us first — we'll do our best to put it right. If you're not satisfied with our response, you have the right to complain to the Office of the Privacy Commissioner:
- Website: www.privacy.org.nz
- Phone: 0800 803 909
